The Program Coordinators report to the Vice President and
the Program Managers. Increasing levels of expertise and responsibility for program
and sales support:
- Implements program at support level and primary
responsibility for participants
- Primary point of contact for participants

Primary responsibility for communications with participants
- POE and
collateral material content and production
- Travel document preparation

Assembly of TD books
- Preparation of on site communications and vouchers

Manages participant data base
- Arrival/ departure manifests

Deviations
- Recreation and activity participation
- Rooming list

Registration
- Works with Air (PM) on ticketing
- Names
list
- Booking
- Deviations
- Manifest

Provides sales support to PM and Department Head
- Sends out RFP's to
Vendors
- Does all follow up to collect information
- Prepares generic
pieces of each proposal, including destination information, hotel information,
recreation and dine around information
- Provides administrative support
for the proposal and sales process
- Travels, with the Program
Manager, with groups as Travel Director. Occasionally at senior level may be asked
to handle small (under 40 pax) groups on own.
Qualifications:
Minimum 2-5 years of experience working on corporate meetings and
group incentive programs helpful. Must have experience developing communications,
working with participants (clients). Experience on site extremely helpful. Or
in lieu of direct experience, demonstrated ability to obtain, organize, and disseminate
information, and communicate effectively in both written and verbal formats.
Technical skills: Microsoft Office, especially Word and Excel.
Access helpful. Airline reservations system experience extremely helpful
